Important Passport Information

Renewing your Passport at U.S. Consular Section Vienna

Passport Renewal by mail:  U.S. citizen adults in Austria may renew their previous, 10-year passports by mail, and pay all fees online! The processing time for passport renewals (DS-82 applications) by mail is 5 to 6 weeks. See Renew by Mail in Austria for qualifications and detailed instructions.

In-Person Passport Applications: If you are required to or wish to submit your passport application in person at U.S. Consulate Vienna, please follow the instructions below EXACTLY.  Appointments are required.  All U.S. citizens may renew their passports in Vienna, even if you do not live in Austria. However, we can only mail new passports back to an address in Austria; no other option is possible. The turnaround time is approximately 2 to 3 weeks.

Attach 5.50 euro in stamps to the envelope & Einschreiben/Registered” sticker from your local post office. Do not attach the sticker to the envelope.   We do not have stamps for purchase locally. We do not allow pick ups of new passports, you must provide the stamps to have them mailed back.

Please note: If you are applying for a passport card at the same time please submit an additional self-addressed stamped envelope (postage Euro 5,50). Card processing time takes about 3 weeks.

 

PASSPORT APPLICATON FOR ALL APPLICANTS AGE 16 AND OVER, HOLDING A 5-YEAR VALIDITY PASSPORT

Each applicant over 16 holding a five-year validity passport must appear in person with his/her current U.S. passport.

The Consular Section is located on Parkring 12a, 1010 Vienna (entrance at the North side of the Marriott building).

 

Instructions
  1. See photo instructions; if the passport being renewed contains a photo that does not clearly resemble the applicant, i.e. baby photo in passport, you MUST provide transition photos.
  2. Fill out the form (self-explanatory). If you never had a U.S. Social Security number, complete and submit this form with your passport application.
  3. Passport Fees
  4. You must submit most recent U.S. passport with your new application.
  5. If the name you are currently using is different from the name on your most recent U.S. passport, you must provide an original copy of the legal name change document. Examples include:
    • Marriage certificate
    • Divorce decree
    • Court-ordered name change document

Your name change document will be returned to you with your new passport.

Processing time is approximately 2-3 weeks.

  • Minor and parent must appear in person.
  • Minor must be physically present in Austria.

Your name change document will be returned to you with your new passport.

Note: If the parent(s)’/guardian’s name(s) is other than that on these documents, evidence of legal name change is required.

 

Provide Parental Identification

Each parent or guardian must submit originals or notarized copies of the following:

  • Valid US or Foreign Passport, or Valid ID Card (e.g. Drivers License etc.)

Note: Your Social Security Card does NOT prove your identity.

Present Parental Application Permission Documentation

(The two-parent consent requirement will be extended to all children under the age of 16.)

  • Both parents must appear together and sign; or
  • One parent appears, signs, and submits second parent’s written statement (in English) of consent authorizing passport issuance for the child notarized before an Austrian Notary Public (“Notar”) or U.S. Notary or U.S. Consulate (Form DS-3053, Statement of Consent or Special Circumstances: Issuance of a Passport to a Minor Under Age 16 (pdf/52kb); or
  • One parents appears, signs, and submits primary evidence of sole authority to apply (such as one of the following):
    • Child’s certified U.S. or foreign birth certificate (with translation, if necessary) listing onlyapplying parent; or
    • Consular Report of Birth Abroad (Form FS-240) or Certification of Birth Abroad (Form DS-1350) listing only applying parent; or
    • Court order granting sole custody to the applying parent (unless child’s travel is restricted by that order); or
    • Adoption decree (if applying parents is sole adopting parent); or
    • Court order specifically permitting applying parent’s or guardian’s travel with the child; or
    • Judicial declaration of incompetence of non-applying parent; or
    • Death certificate of non-applying parent.
  • If none of the above documentation is available, the applying parent/guardian should submit a Form DS-3053: Statement of Consent or Special Circumstances: Issuance of a Passport to a Minor Under Age 16 (pdf/52kb).
    Note: A third-party in loco parentis applying on behalf of a minor under age 16 must submit notarized written statement or affidavit from both parents or guardians authorizing a third-party to apply for a passport. When the statement or affidavit is from only one parent/guardian, the third-party must present evidence of sole custody of the authorizing parent/guardian.
  • One photo, see photo instructions.  If the passport being renewed contains a photo that does not clearly resemble the applicant, i.e., baby photo in passport, you MUST provide transition photos.
  • Fill out Form DS-11 (pdf/101kb) (disregard the instructions on the application as they apply in the United States). NOTE: You cannot currently list a “Country” when completing the “Emergency Contact” section on our forms. Please list an emergency contact in the United States.
  • Personal checks are not accepted.
  • Both parents’ passports.

If the name you are currently using is different from the name on your most recent U.S. passport, you must provide an original copy of the legal name change document. Examples include:

  • Birth certificate showing new name
  • Court-ordered name change document

Your name change document will be returned to you with your new passport.

Processing time is approximately 2-3 weeks.

Passport Renewal by Mail

U.S. Citizens renewing their adult, 10-year passport that was issued less than 15 years ago can renew their passports by mail to U.S. Embassy Vienna and pay all fees online. Check requirements and instructions for renewal by mail. 

Payment Methods & Details

Payment: We accept cash (U.S dollars or Euros); or Credit Cards (Visa, MasterCard, American Express, Discover, or Diners Club. For logistical purposes, payment by credit card is preferred. WE DO NOT ACCEPT BANKCARDS (ATM, Debit or European “Bankomat” cards) OR CHECKS. See our Passport Fees for details.

Security Information

  1. Visitors may bring cell phones into the waiting room, but Bluetooth must be switched off, and taking photos or video are prohibited. Larger electronics such as tablets and laptops are not permitted.
  2. Due to limited storage space and to facilitate your entry into the consulate, please do not bring large bags, suitcases, backpacks, and packages.
  3. Baby food and/or essential medications (in plastic containers only, NO glass) should be brought to the attention of the guards.
  4. Once you enter the screening area, be prepared to remove all metallic items, together with your coat/jacket, belt, handbag/rucksack/briefcase, etc.

Reasonable Accommodation

If you need reasonable accommodation for your appointment, we encourage you to request your accommodation immediately once you schedule your appointment. We make every effort to provide accommodations to persons with disabilities and medical conditions. Reasonable accommodations vary, depending on the situation and the person’s needs.
Examples of accommodations include, but are not limited to:

  • If you require a private appointment due to a medical condition or disability, we may schedule an alternative time for you to come in for your interview.
  • If you or your child has special needs that requires a private appointment in a quiet space without distractions, we may schedule an alternative time for you or your family to come in for your interview.
  • If you are unable to speak, you may be allowed to respond to questions in an agreed-upon nonverbal manner such as using pen and paper.
  • If you are deaf or hard of hearing, you may bring a sign language interpreter to translate during the interview if needed.
  • If you have low vision, we may provide you with communications in large print.

If you are unable to provide fingerprints because of a medical condition, including birth defects, physical deformities, skin conditions, you may qualify for a fingerprint waiver for certain fingers.

  • Interview waivers are only granted in extreme situations, such as having a medical condition that requires flying in an air ambulance.
